Frequently Asked Questions
Everything you need to know about Team-Trak — how it works, how to get started, and what to expect.
TeamTrak is built for any business with staff working shifts or visiting sites: cleaning companies, restaurants and hospitality, healthcare and care providers, construction and trades, field technicians, and short-term rental hosts. It works for small teams and multi-site operations alike, with verified check-ins and automatic timesheets in one place, and client invoicing on the Professional plan.
No. Your team can check in and out using GPS from their phone. QR codes are optional and can be used at selected locations. If you use one, it can be placed discreetly in an agreed location accessible to your team.
You create your business account with your name, business name, email and a password. You're then taken straight into a practice visit: you check in at your current location exactly as your staff will, and see the verified record it creates, with nothing to set up first. Your 7-day trial needs no credit card, so you won't be charged when it ends; you only choose a plan if you decide to continue.
When your worker arrives at a job site, they open the TeamTrak app and tap to check in. The system checks their phone's GPS against the job site's location and records the time, and they do the same when they leave. It takes seconds and gives you a verified record of the visit. If you add an optional QR code at a location, your team scans it when arriving and leaving.
For your regular, permanent team, the mobile app provides the smoothest experience. However, for temporary workers, contractors, or one-off tradespeople, no app or login is needed. You can simply text or WhatsApp them a unique schedule link - they tap it to clock in via GPS right from their phone's browser.
TeamTrak has three plans: Starter at $19/month (5 active users included, +$5 per extra active user), Growth at $59/month (20 active users included, +$4 per extra active user), and Professional at $99/month (50 active users included, +$3 per extra active user). Larger teams can get custom Enterprise pricing. Every plan starts with a 7-day free trial and no credit card is required.
You are only billed for workers who complete at least one verified check-in during the billing cycle. Employees who are added but never scheduled, on leave, or otherwise inactive that month cost you nothing - so temporary and casual staff only add to your bill in the months they actually work.
Starter covers the full operational workflow - scheduling, employee/client/property management, GPS check-ins with optional QR codes, automatic timesheets, a basic dashboard, and exception alerts. Growth adds site photos, payroll exports, advanced reporting, and QuickBooks & Xero integrations. Professional adds automated invoicing, multiple manager accounts, branch/location management, API access, priority support, and advanced operational reporting.
No. You can have your account running in under 10 minutes. Add your clients and job locations, schedule the work, and invite your team. They check in and out with GPS from their phone, so there is nothing to print or install. If you want an on-site check at particular locations, you can add a QR code there later.
No, and this is important for staff peace of mind. TeamTrak is not a background fleet-tracker. It only requests a GPS snapshot at the exact moment of clock-in and clock-out to verify they are at the client's property. It does not track their location before, during, or after their shift.
Yes, on the Growth and Professional plans. Once you approve the timesheets on your dashboard, you can export payroll data or sync with QuickBooks and Xero for staff wages without manual data entry. Client invoicing is available on the Professional plan.
